Job Description

Qualification and Experience: 
  • Bachelor of Commerce (Accounting/ Finance/Economics/ Financial Analysis) or relevant qualification
  • Minimum 5-7 years’ investment operational experience in investment administration/ portfolio administration/financial markets 
  • Portfolio administration experience in unlisted debt, properties, private equity will be an advantage 
  • Sound experience working with different fund structures across various asset classes 
  • Ability to build systems and processes 
  • Person of high integrity and honesty 
  • Strong team focus 
  • Ability to function in a high-pressured environment and meet deadlines 
  • Highly organized, pay attention to detail and be accurate

The successful candidate will be responsible for the following: -
1. Investment Administration 
  • Preparation of the information packs required by the Investment team for the Daily Morning Team Meetings (this assists with Portfolio positioning and cash management
  • Oversee the day-to-day administration of client portfolios to ensure management to objectives, portfolio guidelines and models 
  • Managing:
            o daily fund valuations, 
            o instrument pricing, 
            o instrument cash flows, 
            o redemptions and 
            o maturities
  • Management of scrip and maintenance of the scrip reconciliation process 
  • Daily monitoring of portfolio positions and confirmation that portfolios  conform to latest investment mandates and all regulatory requirements
  • Performance analysis and daily maintenance of funds’ performance 
  • Supplying information relating to funds’ portfolios, prices, dealing  procedures, markets and currencies 
  • Preparation and compilation of daily client compliance reports, monthly and quarterly client reports, Fund Fact Sheets, attribution reports and other ad hoc reporting 
  • Management of client take-ons/ transitions of new clients and all the processes included in client take-ons
  • Management of the client FICA process during client-take-ons
  • Management of client disinvestments and/or disbursements 
  • Processing and management of Client fee payments 
  • Assist and be responsible for fund audits 
  • Assist in setting up trading lines, opening of bank and scrip accounts and establishing relationships
  • Set-up and maintenance of trading instructions, input & send authorized trade instructions on behalf of Portfolio Managers. 
  • Provide portfolio accounting expertise for all products and portfolios 
  • Provide consultation, explanation, and in some cases validation, of portfolio activity including trades, income, pay downs, corporate actions, capital, cash flows, etc. 
2. Investment Reporting
  • Preparation of the External reports communicated to external clients.
            o    Investment Holdings reports
            o    Time Series performance reports
            o    Fund Fact Sheets
            o    Daily compliance risk reports
  • Preparation of the External reports communicated to external clients 
           o    Daily basis, Weekly basis, Monthly basis, Quarterly basis, ad hoc basis
  • Checking the external reports for accuracy and completeness
  • Verifying that all information communicated is correct and consistent across the various forms of communication
  • Attending to client and auditor queries
  • Preparation and completion of monthly survey information
  • Assist with and be responsible for implementing and maintaining systems controls where required
  • Preparation and update of monthly portfolio performance summary communicated to the Board of Directors
  • Preparation of the information packs for Board and Sub-Committee meetings
3. Investor Relations
  • Liaising with clients
  • Completion and submission of surveys
  • Attending to client queries
  • Preparation of client slide presentation packs
  • Preparation and verification of all information communicated externally
  • Assist with and be responsible for implementing and maintaining systems controls where required
  • Planning, managing and executing projects, from conception to implementation, in a deadline driven environment where required
  • Understand investment strategies and future needs of a growing business with respect to multi-asset class portfolio accounting and reporting.
  • Completion and management of client questionnaires 
           o    Operation/Company related questions - Operations Department will be able to provide support and back-up
           o    Investment related questions - Investment Department will be able to provide support and back-up
  • Maintenance of client contacts and information list
4. Projects
  • Management and assistance of the GIPs Project
           o    management of the project
           o    liaising with the relevant parties involved in the project
           o    providing project update reports on the progress of the project and if project is on track
  • Transition of Investment Administrator platform
            o    management of the project
            o    liaising with the relevant parties involved in the project
            o    providing project update reports on the progress of the project and if project is on track
