Job Description

Purpose of the role:

In conjunction with key stakeholders manage and be responsible for all aspects of our distribution on a national level  and to conduct rate negotiations, set deadlines, facilitate payments, comply with regulations and ensure the timeous and accurate delivery of goods to HomeChoice customers

Key Performance Areas (KPAs)

Manage strategy and processes

  • Ensure all distribution plans have an integrated approach to the organizations strategic objectives
  • Investigate, strategize and establish a wider network to expand product offering, improve service and delivery times
  • Establish new business nationally and research and present additional revenue streams for existing business units
  • Manage and monitor the quality, quantity, cost and efficiency of the movement and storage of products and put necessary controls and procedures in place
  • Ensure stock control and warehousing structures are in place to monitor the flow of goods and products
  • Collate daily figures providing an accurate account of productivity and identifying potential backlogs
  • Manage and forecast vehicle stock levels, delivery times, transport costs, performance evaluation and customer satisfaction
  • Maintain awareness of external influences such as legislation, fuel costs, environmental pressure and manage accordingly to keep efficiencies and to meet targets
  • Research and establish the optimal routes to customers to meet and excel on distribution targets
  • Accurately balance risk and trends in driving innovation in the organization and distribution through effective testing and analysis
  • Introduce and maintain productivity measurements within the various depots to measure and report on performance

Build strong service provider relations

  • Continuously liaise with the existing delivery network to ensure timeous delivery within agreed set standards
  • Frequently liaise and negotiate with service providers to ensure and manage best practice, operational reviews on service offering and agreed service level agreements
  • Maintain bi-annual performance ratings
  • Conducting quarterly Group meetings to identify and report on issues
  • Build strong relationships with shipping companies, custom offices and port authorities to assist to maximize efficiency of stock distribution

Financial and budget management

  • Negotiate contracts to achieve cost effective outcomes for the business, including SLA’s to ensure maximum efficiency
  • Calculate total distribution cost in relation to new products, and make recommendations to the business for effective distribution
  • Develop a business plan and keep abreast of new trends and developments likely to affect the future distribution of products
  • Develop annual budget submissions for all distribution and logistics needs nationally
  • Managing the depot and distribution costs within the agreed budget
  • Calculate, maintain and provide an accurate budget for department
  • Ensure ongoing cost reductions are implemented

Reporting and analysis

  • Compile and issue standard daily, weekly and monthly reports according to business needs and requirements timeously
  • Generate and issue ad hoc reports through data mining analysis to provide management with key statistics and trends identified and provide recommendations to act accordingly
  • Continuously analyse trends related to distribution, undelivered products and returned items across various distribution channels
  • Ensure a stable working solution that meets the customer's delivery requirements by implementing necessary quality control processes
  • Monitor and report on the delivery timing performance for both the post office as well as home delivery service providers and other channels 

Improvement of customer services

  • Review and develop strategies to maintain a high level of customer satisfaction in line with business strategy
  • Provide an efficient and effective operating environment between the regional network, warehouse, head office and the customer to ensure maximum responsiveness and resolution in all matters arising between these parties
  • Improve customer service by delivering parcels within agreed time frames
  • Maintain and improve on budgeted returns rate
  • Resolve customer queries related to distribution within the agreed time frame
  • Implement customer service training with independent service providers
  • Ensure a culture change within the distribution and warehouse environment to be more customer centric
  • Continuously investigate and test ways to improve distribution channels and packaging  

Management of people

  • Ensure that all employees have KPA's in place which to manage performance levels, that adequately reflects expected performance outcomes and defines appropriate competencies and behaviours of the role
  • Improve overall skill levels within the area by ensuring personal development plans are in place to address development needs and career aspirations
  • Manage any succession risks by identifying key personnel and developing appropriate succession plans with defined development initiatives to achieve career aspirations
  • Promote staff engagement by ensuring adequate measures are in place to address pulse survey results
  • Ensure adequate and appropriate departmental infrastructure is in place to deliver against KPA's
Requirements

Qualifications & Accreditations

  • Tertiary qualification in logistics and/or supply chain

Experience & Skills

  • A minimum of 7 years’ distribution experience with at least 5 years at management level
  • Proficient in MS Office (Excel, Word and Outlook)
